Practical guide · 5 min reading

To prepare a useful email journey, first define the recipient, the sending time and the expected action. Next, link the message to a consistent destination and verify the sending device. This guide is aimed at small teams who want to organize their campaigns without confusing automation, prospecting authorization and effective arrival in the inbox.

Choose the role of each message

Distinguish a one-off campaign from an action-triggered email. A presentation of something new, a welcome message and an order confirmation do not meet the same need. Describe in one sentence what the recipient needs to understand and what they can do next.

For automation, write the entry conditions, deadlines, exclusions, and exit from the scenario. A person who has already completed the proposed action should not receive the same invitation over and over again. A readable scenario in a simple document is better than a succession of branches that no one knows how they work.

Illustrative example: subscribing to advice

A person requests to receive content on a specific subject. The first message recalls this choice and offers a suitable resource. A follower may develop a concrete difficulty. The scenario provides for unsubscription and does not automatically add messages about an unrelated offer. This is an example method, not an actual 4SYSTEM campaign.

Check base and sending authorization

A list of addresses does not, in itself, constitute a prospecting right. The CNIL explains the rules of electronic prospecting : individuals must in principle consent in advance; solicitation of professionals may fall under another framework when it concerns their activity, with information and simple opposition. Exceptions exist and must be considered in context.

Do not assume that an account created equates to a purchase or marketing consent. The CNIL specifies in particular that the mere creation of an account is not sufficient to invoke the exception linked to a customer relationship for similar products or services. Document the origin of the contacts, their information and the choices they expressed.

Clearly identify the organization sending the message and provide a simple way to refuse subsequent requests. Verify that opposition is actually taken into account in campaigns and automations. This summary does not replace the legal examination of your situation; Use the official documentation before launching a new device.

Build content that can be read without its images

The subject must honestly announce the content. Put the main information at the beginning and reserve the details for what helps the reader take action. An image can illustrate the offer, but the important conditions and call to action must also exist in text.

Prepare a replacement display when a first name or other data is missing. A raw variable visible in the message gives the impression of a poorly prepared send. Also control useful image alt texts, character size and reading on a narrow screen.

Choose a primary objective. If multiple links are needed, make their role obvious. Avoid putting several independent offers in the same email if the recipient cannot understand how they are related.

Test what happens after the click

Each button must lead to a page corresponding to its text. Check the final address after any redirections or rewrites of your platform. A reservation page, a product and an item do not involve the same action.

If the page requires a login or if the offer has a condition, say so at the right time. Also check how the page works on mobile, the information promised and possible confirmation. The journey does not end when the email button is clickable.

Control identity and authentication

The sending configuration deserves a separate check. Use your provider's guidance to configure and control domain mechanisms, rather than copying a found DNS record without knowing its scope.

The Gmail guidelines for senders distinguish between requirements applicable to all shippers and those related to large volumes. In particular, they require SPF or DKIM for senders to Gmail and strengthen the rules for mass sending. These are Gmail reception rules, not a general guarantee of arrival in the main mailbox from all providers.

Check the displayed identity, reply-to address and delivery returns. A “sent” status in a platform does not prove either the reception or the classification of the message. Authentication contributes to a coherent system; it does not correct a poorly constituted list or content of no interest to the recipient.

Checks before wider sending

  • Confirm the origin of contacts, information and saved choices.
  • Control exclusions and output of each automation.
  • Reread the subject, sender name and reply address.
  • Test missing data and reading without images.
  • Click on the links in a test received on an authorized address.
  • Check destination and unsubscribe mechanism.
  • View delivery errors and returns after sending.

Frequently asked questions

Can we send a customer file to all contacts?

Not without checking the origin of the data, the prospecting framework and the oppositions. The commercial quality of a contact does not remove its rights. The rules differ depending on the audience and the situation; start from the recommendations of the CNIL and your documented system.

Should we automate the entire process?

No. Automate sequences whose conditions are stable and understandable. Keep human intervention when the need, request or response depends on a context that your data does not adequately describe.

Does a received test email prove the success of the campaign?

It proves that a given message arrived at a given address. It helps verify content and links, but does not guarantee the behavior of all providers, nor the receipt of a wider mailing. Keep reading for post-launch feedback.
